Diploma

Collection of Diploma

 

  1. Owing to the spread of the COVID-19, the opening hours of the Academic Registry counter are subject to change.  Please check the Academic Registry homepage before you come to collect the diploma.
  2. The arrangement for collection of diploma is NOT applicable to graduates of UIC - United International College; as well as graduates of MSc in Mathematical Finance and MSc in Operational Research and Business Statistics (please contact the Department of Mathematics external link for assistance).
  3. Starting from the graduating class of 2018, the University will only keep the diplomas for 3 years.  The uncollected diplomas would be disposed of afterwards.
  4. Graduates must clear all outstanding fees and/or loaned items with the University (e.g. tuition fees, library fines/books) before collecting their diploma.  Graduates with outstanding matters will NOT be allowed to collect the diploma.
  5. Graduates must present their HKID Card/Passport for verification.

 

To safeguard campus security, the University is setting up checkpoints at main entry/exit points on campus and at key buildings, and will implement the following access control measures commencing 13 January 2020 (Monday).

 

  • Current students will have to present their student cards for checking at the campus entrance checkpoints for entering the Kowloon Tong campuses.  If you have lost your student card, please report promptly to the Academic Registry for replacement.
  • For most services provided by the Academic Registry, online applications are available.  Please use the online service as far as practicable.  If you need to come to the Academic Registry in person, pre-registration in advance is required.
  • Please allow at least 2 working days for the Academic Registry to process your pre-registration.  Once pre-registration is completed and approved, a one-time QR code will be sent directly to your email address.  Kindly scan the QR code at the scanners installed at the designated campus entrance checkpoints during the registered timeslot.
  • The above measures will inevitably cause inconvenience to all members of the HKBU community and other visitors.  We appeal to you for patience and cooperation in keeping our campuses safe and secure.

    In case you cannot come to collect the diploma in person, you may authorize a representative to collect it on your behalf.  The representative must present:

     

    • his/her HKID Card/Passport;
    • a copy of your HKID Card; and
    • a completed Authorization Form for the Collection of Diploma OR a letter of authorization (with your signature and student number) specifying the name of the person collecting the diploma.  A letter that does not bear the name of the person collecting the diploma will not be accepted.  Persons other than the one named in the authorization letter will NOT be allowed to collect the diploma.

      Loss of Diploma

       

      In case of loss of diploma or damage of the original diploma, graduates may apply to the University for:

       

      A fee (HK$120/copy) is charged for the issuance of testimonials (NOT applicable for damage of the original diploma).  Normal processing time upon receipt of the completed application form is 4 working days

      • By mail           :     Payment by cheque made payable to "Hong Kong Baptist University" or Credit Card Payment Form

      If the application is submitted by mail, fax or email, please also attach a copy of the applicant's HKID Card/Passport

      A fee (HK$600/copy) is charged for the issuance of replacement diploma.  Normal processing time upon receipt of the completed application form is 4 weeks

       

      • Applications made due to loss of diploma should include the original police report, notarized statement or declaration administered by a Commissioner for Oaths.
      • Applications made due to damage of the original diploma should include the original diploma which will be kept by the University for record purposes.
